In an increasingly competitive marketplace, our Marketing, Communications, and Business Development (MCBD) team enables Arup to build and protect our reputation, deepen client relationships, win quality work, and attract top talent. This role will be key in achieving our strategic market and client ambitions. We are seeking to hire a Client Systems Knowledge & Training – Senior Specialist to strengthen our MCBD function.

The Opportunity

In this role, you will play a key part in enabling our people to get the most from Arup’s CRM and wider MCBD client systems by designing and delivering high‑quality, user‑centred learning experiences. You will create engaging training materials, deliver workshops to diverse audiences across the firm, and maintain clear, well‑structured and searchable knowledge resources aligned to agreed standards. With a passion for translating complex systems into accessible learning, you will document and share best practice to support consistent adoption across the CRM and MCBD community. You will work closely with Arup University and our Learning & Development team to ensure all materials align with established learning frameworks, delivery schedules and training guidelines, as well as partner with Internal Communications to support educational campaigns that bring our client systems transformation roadmap to life and clearly articulate the value it delivers. Through this work, you will help increase engagement with CRM, client reporting and other MCBD systems, designing role‑based learning journeys and a sustainable knowledge base that drives adoption and reduces reliance on ad hoc support.

Key Responsibilities

  • Design and deliver training programs on MCBD systems - including CRM, client reporting, and other work-winning systems - for various audiences including client relationship teams, bid teams, marketing stakeholders and senior leadership.

     

  • Create training materials (user guides, quick reference cards, video tutorials and workshop content) aligned to standards.
  • Build and maintain a centralised, searchable knowledge hub (documentation, FAQs and how-to content).
  • Develop role-based learning paths that align training to user needs and business processes.
  • Conduct needs assessments to identify knowledge gaps and training requirements across the firm.
  • Facilitate train-the-trainer sessions to build internal capability and scale adoption efforts.
  • Measure training effectiveness through assessments, feedback surveys and usage analytics to continuously improve learning programs overtime.
  • Champion best practice adoption and create governance documentation that maintains data quality standards.
  • Advise MCBD leadership on best practices in knowledge management and provide training and support to staff on tools and processes
  • Collaborate with internal and external stakeholders including business partners and subject matter experts to develop and support new and existing products, features, and services

     

     

    Is this role right for me?

     

     

  • Bachelor’s degree in Information Science, Computer Science, Marketing, Knowledge Management, or related field
  • Significant experience in system-based training, learning design and/or knowledge management, ideally for CRM or digital platforms.
  • Hands-on expertise with CRM platforms (e.g., Microsoft Dynamics 365, Salesforce, HubSpot) and Microsoft collaboration tools (e.g., SharePoint, Teams; Planner desirable).
  • Proven ability to create clear, engaging learning content for non-technical audiences (guides, quick reference materials, videos and workshops).
  • Strong facilitation skills, confident presenting to groups and coaching individuals.
  • Strong understanding of adult learning principles and instructional design methodologies.
  • Experience managing knowledge bases or documentation repositories (e.g., SharePoint, Confluence or similar).
  • Understanding of data governance principles and how they support data quality and user adoption.
  • Awareness of trends in data, automation and information governance as they relate to training and system use.
  • Understanding of business development and work-winning practices in professional services (AEC sector desirable).
  • Strong understanding of data governance principles and practices
  • Proficiency in designing learning programs
  • Awareness of relevant trends in data, automation and information governance as they relate to training and system use.

     

  • Experience in Microsoft platforms such as Dynamics 365, SharePoint, MS Teams, and Microsoft Planner.
