We are currently seeking a Sr. Project Controls Specialist to join our team to work on various projects in Canada offices, particularly large design-build and P3 infrastructure projects. The focus of this role is to oversee various Project functions including planning, scheduling, and cost control. The Project Controls Specialist will collaborate and liaise with the Project Director, Project Manager, Design Team Lead, Package Managers, Subject area and other Functional Leads and sub-consultants to implement and communicate processes for scope, cost and schedule management.


Responsibilities for this role include but are not limited to:

  • Assisting Project Director and Project Manager in the implementation of project-specific cost control and schedule management processes.
  • Preparing and maintaining the Work Breakdown Structure (WBS), corresponding budgets and integration with the schedule.
  • Assisting Bid Director and Bid Manager by providing commercial support during bidding stage. This includes preparing of WBS, schedule, fee & cost estimates, resource planning, and general support in reviewing & analyzing contracts.
  • Reviewing, monitoring, and analyzing financial performance, project costs and other performance parameters.
  • Tracking actuals against budgets, conducting variance analyses, carrying out reporting of project financials and responding to queries from various project partners on performance issues.
  • Manage and oversees the preparation and issuing of monthly client invoices and monitoring accounts receivable.
  • Conducting commercial management of sub consultants’ contracts, tracking progress, and reviewing invoices and payments.
  • Carrying out Earned Value reporting, spend & cash flow forecasting, and monitoring.
  • Assisting in monitoring and managing scope & schedule changes and in preparation of change requests and claims.
  • Assisting in commercial risk management on projects and monitoring project specific contingency reserves.
  • Conducting contract administration, including checking compliance with contract requirements, and preparing and inputting to monthly client reports.
  • Preparing relevant information for Arup Internal Project and Commercial Reviews.
  • Project specific updates and maintenance of the Arup Project Financial Forecast (PFF) and Resource Forecast Tracker (PaT).
  • Supervise, manage, oversees, and support the Project Controls team and to review their respective deliverables.

The Qualified professional will have:

  • Bachelor’s degree in relevant field.
  • Working knowledge of Primavera (P6) is mandatory. Knowledge of any other planning & scheduling software will be considered as an asset.
  • 10 or more years of relevant experience in managing major construction projects is required.
  • Must have experience in the areas of budgeting, financial reporting, cost tracking, schedule management, risk management and change management.
  • Bilingual in English and French desirable.
  • Possess an advanced knowledge of Excel, data manipulation and spreadsheet design to communicate results
  • Experience in PowerPoint/ Power BI, for report preparation desirable
  • Ability to prioritize effectively and manage timelines; highly organized
  • Strong interpersonal and communication skills essential for team-based working
  • Ability to relate and work well with people at all levels within the team and within the wider office, as well as externally with clients.
  • A great teammate and able to perform independently.
  • Presentation skills with colleagues and clients of all levels
