The Quality, Environmental and Health & Safety management systems, which are known as the “Arup Management System (AMS), applies to all live projects and supporting processes. Arup operates an integrated management system that meets the requirements of the ISO 9001, ISO 14001 and 45001 standards.

This role is to provide effective and efficient support to the regional AMS team in relation to training, support, documentation, development & integration of the AMS Systems as well as supporting the administration works. Good working relationship with senior staff particularly Group and Officer Leaders, Project Managers and AMS team is essential, and this role is reporting to the Regional AMS Leader.

Responsibilities:

  • Provide administrative support to the team on training, documentation, maintenance and coordination of Quality, Environmental and Health & Safety Management Systems
  • Plan, prepare and distribute agendas, take minutes and provide other support as required for various meetings
  • Preparation and review of correspondence, reports and other written documentation as required
  • Arrange internal and domestic travel arrangements, including flights and accommodation
  • Plan and arrange meetings, including following-up with expected attendees to ensure adequate preparation
  • Plan and arrange presentations, training sessions delivered by the AMS team and AMS support trainers
  • Support on coordinating in-house trainings
  • Perform any ad hoc tasks as assigned

Qualifications & Experience required:

  • Degree in Business Administration or related discipline
  • At least 4 years of relevant experience, preferable in engineering industry
  • Knowledge in ISO 9001, ISO 14001 & ISO 45001 standards is a plus
  • Good team player, proactive, self-motivated and willing to learn
  • Good command of both spoken and written English and Chinese
