The Opportunity

This is a pivotal support role and will make a significant impact on how our teams operate and engage with our clients. This role will involve being the 'go to' person within the team, supporting colleagues in producing quality deliverables and ensuring smoot operations. This position presents an excellent opportunity for individuals interested in enhancing their skills, fostering new professional relationships, and embracing a new challenge.

The ideal candidate will have an ability to build strong and positive relationships in a complex, multi-disciplinary environment.  Furthermore, the candidate should be able to identify and utilise these relationships, ensuring efficiency within the team. 

The ideal candidate must be self-aware, able to manage own resilience and be sensitive to others’ agenda. This is an essential part of the role and is key to developing valued working relationships, continually being mindful of impacts on the team, clients and internal colleagues. 

Continuous improvement is a key part of this role, and we expect the team co-ordinator to embrace this, demonstrating a growth mind-set. The role requires a proactive approach to learning and of developing new approaches. 

Willingness and ability to take ownership of tasks or internal projects is key. The individual must be a problem solver and take initiative to resolve issues that they may face. 

Responsibilities 

  • Support the project team in all administrative activities in line with client requirements adhering to internal procedures. 

  • Supporting teams in promotion of projects via social media platforms in collaboration with the marketing team. 

  • Produce quality documents in line with the Arup brand, proofreading content to ensure consistency and good style, editing and making suggestions for improvements to text and presentations, creating first draft PowerPoint presentations if required. 

  • Collaborate with both project and business development and marketing teams in work winning activities – bids, PQQs and preparing supporting documentation 

  • You'll manage holidays, absences, and welfare initiatives, ensuring smooth transitions. Support new starters with onboarding, making their experience seamless. Assist with recruitment, scheduling interviews, and maintaining GDPR compliance. 

  • Assisting team and team leaders with diary management.  Proactively gathering relevant details, booking meeting rooms and proactively liaising with relevant teams to organise AV requirements and refreshments required.  

  • Understanding the link between all Business Services disciplines and being able to draw on these relationships to deliver high quality outputs both to internal and external clients. 

  • Being aware of H&S best practice, identifying risks, breaches or specific needs. Taking on H&S roles when required. 

  • Demonstrate solid experience in a similar role, ideally in professional services, multi-disciplinary environment. 

  • Be an excellent communicator, both written and verbal
