The Opportunity 

 

We’re looking for someone to keep our skills programme running like clockwork—someone who understands the strategic goals and ensures the week-to-week delivery of the programme stays on track. This is a hands-on role for someone who thrives on bringing structure, clarity, and calm to complex, collaborative work. They’ll coordinate regular partner meetings with clear agendas, manage centralised document storage and sharing, maintain effective stakeholder communications, and ensure robust governance and reporting processes are in place to keep Arup’s Skills Programme running smoothly. This role requires a balance of structured project delivery and empathetic change leadership to support leaders and teams to participate in and benefit from the Skills Programme. This would suit someone with strong project delivery experience, who’s ready to step into a broader strategic coordination role. The ideal candidate will bring at least five years’ experience in programme or project management across complex stakeholder landscapes. 

 

Is this role right for you? 

 

This role offers the chance to lead the coordination and smooth operation of Arup’s Skills Programme. You’ll be responsible for shaping the roadmap and managing the cycle of partner engagements—ensuring everything runs seamlessly. Central to the role is establishing clear schedules and systems that create transparency, track progress, and maintain accountability across delivery partners. 

 

You’ll take ownership of partner meetings, making sure agendas are prepared, outcomes captured, and conversations stay purposeful. You’ll help embed strong governance and reporting routines that support decision-making and long-term sustainability. By managing a stakeholder communication plan, you’ll ensure timely and effective engagement with all key players. 

 

Monitoring the programme’s progress and using data to inform adjustments will be key to keeping things on track. You’ll collaborate with cross-functional teams to embed smarter ways of working, and you’ll bring stakeholders along with you—encouraging shared ownership and lasting commitment. Finally, you’ll maintain well-organised document systems to support accessible knowledge sharing and smooth collaboration. 

 

Responsibilities  

We’re looking for someone who’s comfortable bringing structure to complexity and thrives in collaborative environments. 

  • Proven experience coordinating complex programmes or multi-partner projects 

  • Strong understanding of delivery oversight, governance, and stakeholder engagement 

  • Skilled in designing systems for scheduling, reporting, and document management 

  • Confident working across cross-functional, collaborative teams 

  • Clear communicator who builds relationships at all levels 

  • Highly organised and methodical, with great planning skills 

  • Proficient in tools like SharePoint, Teams, Planner, Excel, Project, Miro, and stakeholder tracking tools 

  • Comfortable navigating change and resolving challenges proactively 

  • Able to simplify systems and maintain smooth operations 

  • Understands programme-level goals and keeps efforts aligned
