Arup is seeking a highly organised and proactive Portfolio Coordinator to support the APAC Portfolio Leader and strategic portfolio operations. This role combines high-level administrative support with strategic coordination, including diary management, stakeholder engagement, reporting, and event planning. It’s ideal for someone with strong interpersonal skills, technical capability, and a passion for enabling leadership success. Open to candidates based in locations outside of Singapore.
 

The Opportunity 

•    Deliver confidential, high-quality administrative assistance to the Portfolio Leader, including document creation, presentations, research, and drafting communications. Manage diary scheduling, travel approvals, expenses, and timesheets. 
•    Liaise with internal stakeholders and global portfolio networks to align agendas and priorities. Support regional strategic pursuits and ensure smooth operations between teams, identifying opportunities for process improvement.
•    Extract and analyse data from Power BI, generate dashboards, and monitor progress. Oversee CRM pipeline management and central budget spend analysis, including time transfers.
•    Coordinate meetings and industry events, including agenda preparation, minute taking, reporting, and follow-up actions. Act as the point of contact for marketing and communications support related to portfolio activities.
•    Work closely with APAC leadership and administration networks to support regional coordination. Represent the team in sharing key information and ensuring alignment across business functions.

Is this role right for you? 

•    Experience providing high-level administrative support to senior leaders in professional services.
•    Strong written and verbal communication skills with a professional yet approachable style.
•    Proficiency in Microsoft Office and data tools like Power BI.
•    Demonstrated ability in meeting coordination, including agenda setting and minute taking.
•    Excellent time management, problem-solving, and organisational skills, with the ability to handle sensitive and confidential information.
