The Opportunity  

Role purpose 

The purpose of this role is to provide PA support to Global Market and Business Leaders with key administrative and logistical tasks to enable effective performance in their role. 

This role will act as a conduit between the Leaders and their stakeholders. The Personal Assistant is expected to develop a good understanding of how the business works, supporting the Leaders in meeting their ambitious agendas, managing busy, complex and fast-moving diaries, and will take the lead on a range of activities and initiatives. 

Is the role right for you?  

We are looking for candidates with experience of the following, and will; 

  • Take ownership of and make complex travel arrangements, including Visas. 

  • Take full ownership of enquiries from start to finish and ensuring swift resolution. Assisting with internal and external communications. 

  • Assist with event planning and coordination, taking a proactive approach and offering logistical solutions and recommendations. 

  • Diary management, resolve conflicts and suggest solutions by looking ahead and collaborating with other Assistants and Leaders. 

  • Delivery of support services to the Leaders, including but not limited to producing documents, presentations, researching and gathering information and authoring non-standard letters, emails, reports, and other documentation. 

  • Expense Management: Collating and submitting monthly expenses; raising and processing purchase orders, invoices, subscriptions, using relevant Arup software. 

Responsibilities & Key experience 

  • Experience of providing support at senior level and to a high standard. 

  • Strong collaboration and support experience to ensure key activities are covered. 

  • Appreciation and sensitivity to the cultural diversity of the global firm. 

  • Experience of managing changing demands and priorities with a flexible approach. 

Operationalise our vision and strategy 

 

This is a varied role requiring a self-managed contribution within admin scope, delivered with minimal supervision and direction, to provide administrative support to the Leaders, enabling them to achieve their strategic and operational objectives and realise the firm’s Global Strategy. 

  • Plan and organise activities on behalf of the Leaders, partnering with them to fully understand their business priorities, pre-empt challenges, and find solutions. 

  • Support Leaders in preparing for, and attend external and internal meetings, including document preparation, proofreading, collation, and filing. Enable and support the timely delivery of reports and other documentation on a regular basis. 

  • Governance: Observe compliance with internal policies and external regulations. 

  • Recognise, understand, and build positive relationships with key stakeholders and enhance the reputation of the business. 

  • Delivering excellence for our clients 

  • Confidentiality: The ability to be discreet and maintain confidentiality in dealing with internal and external stakeholders, maintaining a reputation for the highest standards of integrity. 

  • Setting an example: Delivering work to the highest standard, setting the example of quality work in a support capacity for others across the firm. 

  • Understand key drivers and business imperatives, such as H&S, Sustainability, Equality Diversity, and Inclusion, Digital, Wellbeing, and actively keep them top of the Leaders’ agenda. 

 Measures of success 

  • Feedback from key stakeholders. 

  • Seamless management of the support provision across all 3 Leaders
