The opportunity
We are seeking an experienced Office Administrator to join our team in Dallas. The ideal candidate will possess a strong background in both project and office administration, with experience in collaborating with external partners. This role will also involve providing support to projects across our wider Texas region.
The skills
As the cornerstone of our office, you will:
- Ensure the smooth operation of the office by coordinating all facilities tasks to maintain an organized and efficient work environment
- Function as a key contact for both internal and external customers, displaying strong communication skills and the capability to handle confidential information in a discreet manner.
- Enjoy providing high level of client and customer service with a focus on the overall team
- Follow our defined document control, data, information management systems, and procedures to assist with handling our projects
- Prepare, edit, proofread, and submit reports, specifications, correspondence, spreadsheets, and presentations with utmost attention to detail, ensuring the highest quality and formatting adhering to our branding guidelines
- Easily adapt to changing digital platforms, processes, and concepts
- Assist with management of daily Client Relationship Management (CRM) system activities: create project opportunities, support pipeline management, and maintain contact database
- Assist in the preparation and submission of proposals, bids, and presentations
- Conduct research to support business development efforts
- Manage ever-changing calendars for assigned leaders
- Coordinate the planning and execution of meetings and office events with meticulous attention to detail, ensuring smooth operations.
- Apply Concur SAP, to handle tasks such as preparing, reconciling, and processing invoices and expense reports, as well as arranging business travel
- Assist with professional license applications and renewals
- Perform other duties as required
Qualifications
- Dallas resident residing within proximity of our office location
- Minimum three years of applicable experience in a similar role, ideally in professional services
- Relevant experience or a degree in business or a related field is preferred
- Proficiency in MS Office Suite and other standard applications/software programs and databases
- Ability to adapt quickly and jump into projects with excitement
- Strong organizational skills and effective time management abilities
- Proactive, self-motivated individual with excellent communication and interpersonal skills
- Capacity to work both independently and collaboratively within a team environment
- Excellent interpersonal skills, adept at building and maintaining relationships

Hiring Range - The good faith base salary hiring range for this job if performed in Dallas is 60,000-70,000 per year. This range is commensurate with experience, educational background, and skill level. Benefits are not included in the base salary. Please note hiring ranges for candidates performing work outside of Dallas will differ.
