We're hiring a Marketing and Proposal Specialist based in Toronto to support marketing and proposal efforts across our Toronto, Montreal, and Calgary offices. You'll collaborate with senior staff throughout the Americas region, assisting with strategy development, planning, and execution for major pursuits. Responsibilities include coordinating proposals, RFQs, and bid presentations, supporting market vertical and client account marketing, research, data gathering, planning, writing, execution, and delegation of tasks, as well as production and delivery.

The role requires fostering connections across offices in Canada and the Americas, implementing best practices, and eventually supervising marketing staff in collaboration with the marketing leadership team. 

 

Responsibilities of this specific role will include, but not be limited to the following: 

  • Coordinate activities for research and monitoring of websites and publications for identification of long-term project leads. 
  • Assist in facilitating capture and pursuit plans for long-term leads and project pursuits. 
  • Conduct searches, monitor websites and publications for active EOIs, RFPs, and RFQs and coordinate go/no-go meetings. 
  • Collaborate in the writing and preparation of information and materials for submittals, requests for information and proposals. 
  • Assist in determining proposal concepts and outline by studying RFPs and coordinating strategy meetings. 
  • Coordinate bid team deadlines and proposal production by establishing priorities, information, writing, review, and approvals. 
  • Collaborate with market portfolio leaders, project directors and project managers on inputs from technical experts, sub-disciplines and scope/fee submittals, when necessary. 
  • Work with project directors and project managers to identify and oversee sub-consultant inputs.  
  • Coordinate, write and produce tailored qualification packages, resumes and proposal responses, including forms and specialized documents.  
  • Coordinate proposal follow up, internal and client debriefings.  
  • Manage information in databases to be used for submissions needed to support efforts to win work. 
  • Support market portfolio and client care programs, where necessary. 
  • Help to maintain a customer relationship management (CRM) database.  
  • Assist in preparing award submittals, brochures and other collateral materials, from time to time. 

 

Minimum Qualifications: 

  • Bachelor’s degree required. Preferably with an emphasis in English or Marketing. 
  • Minimum four years’ experience as proposal/marketing coordinator or writer required. Preference to this type of experience in the A/E/C (Architecture/Engineering/Construction) industry.  
  • Must have strong collaboration skills and a proactive attitude, with an ability to work within a team environment and work to engage staff of all levels in business development / proposal activities. 

 

Other: 

  • Ability to operate and thrive under tight deadlines.  
  • Ability to organize, prioritize and manage multiple deadlines with attention to detail. 
  • Presentation, technical documentation and layout skills.  
  • Creative and critical thinking, writing and editing skills. 
  • Experience with the following computer applications a must: InDesign, Acrobat, MS Word, Excel, PowerPoint and Outlook. 
  • Experience with Photoshop, Illustrator, MS Project, Primavera, Power BI an asset.  
  • Involvement with local marketing and or A/E/C organizations a plus.  
  • Fully Bilingual (French, English): oral, reading, writing is an asset. 
  • Travel to other offices, when required.   
  • Able to work flexible hours, when required.
