The Opportunity
Join a team that’s making a real difference. We are currently looking to recruit a junior bid coordinator to join our work winning team. The candidate will report to and work closely with our Senior Bid Coordinator and sit in our wider Business Development & Marketing team. Under the direction of the senior bid coordinator, they will support the business teams and internal stakeholders by coordinating all aspects of our bids and tendering with potential and existing clients. As a junior bid coordinator at Arup, you will:
Provide key bid administrative support to the bidding team, helping to ensure the bid preparation is running smoothly and according to the existing bidding procedures and guidelines. Working closely with the Senior Bid Coordinator, you will be involved in the following tasks:
- Updating opportunity trackers, downloading, filing and circulating documents to relevant stakeholders in the company; tracking internal decisions
- Keeping track of renewal dates of internal documents
- Drafting and collating documents, researching additional information for submissions following guidance and instructions from the Senior Bid Coordinator.
- Creating and completing standard submission files such as internal company templates and government forms used in public bidding
- Formatting and finalising completed documents for inclusion in bid submissions, document management and version control
- Maintaining records of successful bids for future reference
- Assisting in the production of marketing materials and company information sheets to enhance the company’s future business opportunities and to support bids.
- Proof reading, fact checking, rewriting and reformatting information that is provided for tenders.
- Track the status of all bids/tenders through the evaluation, award process and feedback where relevant.
