The Opportunity

We have an exciting opportunity for a Helpdesk/Switchboard Coordinator to join us on a 12mnth Fixed Term role. As a valued member of the Arup Facilities Management Helpdesk team, you’ll play a key role in ensuring our offices operate smoothly and efficiently supporting colleagues across the business with timely, professional helpdesk services. Reporting to the Helpdesk Manager, you'll be a central figure in coordinating daily operations and managing essential contractor relationships to ensure service excellence.

In addition to core helpdesk tasks such as managing phone, email, and switchboard enquiries, you'll take ownership of event coordination, internal communications, and front-line problem-solving. Your agility and ability to multi-task will shine as you work on a rotating shift pattern alongside a supportive, dynamic team.

A natural communicator, you're confident dealing with people at all levels—calm under pressure, endlessly polite, and always focused on solutions.

You’ll bring a hands-on approach to every task, from coordinating meetings to managing events and ensuring shared spaces are welcoming and well-maintained. You're curious by nature, eager to refine processes, and always ready to take ownership—whether that’s chasing an invoice, creating a poster, or suggesting a smarter way of working.

Requirements 

  • Working on a 3-shift rolling Rota: 08:00-16:30, 08:30-17:00, 09:00-17:30
  • Proven experience in a team with a focus on support services and service provider coordination
  • Strong communication skills—professional, clear, and confident both over the phone and in writing
  • Excellent organisational skills, with the ability to juggle shifting priorities and take full ownership of tasks
  • Solid IT skills (Microsoft Office essential), with the ability to quickly learn helpdesk and booking systems like Concept Evolution and Condeco
  • Health & safety awareness (ideally IOSH qualified), and a willingness to train in First Aid and Fire Marshal responsibilities
