This role will be based at the Concierge Desk as part of the Front of House (FoH) team and offer a hosting service for clients, visitors and staff located in and visiting the Melbourne Office. The primary focus will be providing a hosted environment for front of house by welcoming people into the office, connecting them with their contacts, building relationships, maintaining a secure entry line, keeping FoH areas and meeting rooms clean and well maintained.

The Opportunity

  • Opening or closing of the concierge desk and lunch cover daily, as well as cover as rostered and as required;
  • Collect travel information twice weekly (from Travel Coordinators / BA's) on incoming visitors to Melbourne and ensure they are welcomed upon arrival
  • Organise and support meetings and events for the Melbourne Office;
  • Providing administration assistance as well as coordinating activities to deliver successful client and Arup staff meetings, workshops, and events;
  • Represent Arup and work on external events; and assist the team with their work and ensure that deadlines are met.

Is this role right for you? 

  • Similar experience in a Reception and/or Administrative position
  • Previous events or hospitality experience will be advantageous;
  • Proven working knowledge of relevant legislation, regulations, codes of practice, and guidelines – and Arup’s related procedures including HSE;
  • Experience in Microsoft Office Suite; and
  • Fantastic interpersonal skills and a positive attitude.
