The Opportunity

Reporting directly to the Europe Region Managing Director, you will work closely with the Region Management Team members and its Executives to drive and manage our strategic objectives with our Executives bodies. The role is a key enabler for continued business impact by serving as the communication interface between various stakeholders. Specifically, this will involve ensuring the accountability of the region sub committees and the Region Management Board. 

In this role the successful candidate will proactively support the Europe Region Managing Director in managing the strategic and operational outcomes of the Region Management Board to ensure the smooth running and delivery of strategic region activities.

Success in this role requires someone who operates collaboratively, is commercially astute, whilst having the intellectual agility to identify and prioritise. The role holder, whilst detail oriented is able to step back and ensure the papers from others for the Board/committees are relevant and appropriate, pushing the most senior stakeholders to get things done whilst navigating internal complexities. As a Regional Board at Arup, you will:

  • Independently and actively supporting the Managing Director and Region Management Board by advising on the effective prioritisation and coordination of information flow into the Board from the operational leadership and committees and vice versa
  • Holding Sub-Committees to account on behalf of the board, preparing monthly Board and other executive meeting agendas, agreeing contributions from diverse stakeholders, including pre-screening, challenging, and actioning item follow-up from the Committees and Board meetings
  • Organising, preparing, and participating in internal meetings in relation to board and committee activity.
  • Pro-actively managing and handling Region Management Board related tasks for the Board Members (e.g., audit follow-up, cost centre oversight, mid-/year-end review preparation, prepare analysis, etc)
  • Steering and coordinating strategic projects, initiatives and workstreams as defined/agreed by the Managing Director and/or Board members, with challenge to the relevant board committees
  • Working in close collaboration with Communications and Board members to define which presentations and papers route through to the Board
  • Supporting other Board Members with key strategic initiatives and insights as determined by the Region Chair and board priorities.

In return, it is essential you bring strong project management experience, the ability to work with people proactively, great attention to detail, and the ability to manage multiple workstreams in a highly matrixed environment of Senior Directors.
  • This opportunity will further enhance highly developed analytical skills to interpret and synthesize complex information and develop actionable solutions. The role would suit those from a variety of expertise backgrounds and disciplines, but what is more important is your understanding of key financial and business KPIs and strategic objectives and your ability to work with people proactively to deliver outcomes.
  • Your excellent communication and influencing skills will be put to great use in effectively expressing ideas and influencing a variety of stakeholders within both a regional and international context. Stakeholders for this role include, but are not limited to, Europe Region and Global Board Members, Regional Leaders (Portfolio & Geography), and External parties.
  • You will be comfortable operating in ambiguity and as a diplomatic communicator, with the ability to prioritize effectively and coordinate input from various sources.
  • Essential skills:
  • Strong written and verbal communication skills in English, including advanced business and report writing skills.
  • Ability to interact confidently and effectively with all levels of management, including executive leaders.
  • Strong analytical skills and business acumen.
  • Experience in managing Boards and Committees.
  • Project Management or Workflow management skills.
  • Proven range of influencing techniques to win over executive stakeholders.
  • Experience in connecting deliverables and accountabilities at sub-committee levels and reporting against these.
