Joining Arup
Arup’s purpose, shared values and collaborative approach has set us apart for over 75 years, guiding how we shape a better world.
Join our high-performing Perth team as a Business Administrator with a dual focus on project coordination and finance. In this role, you’ll keep projects on track and finances in order by coordinating team activities, managing invoices and interpreting timesheets. Working closely with our Business Administration Lead, you will also liaise with clients to clarify details and provide updates, ensuring our processes run smoothly and professionally. It’s a varied position that touches all sides of the business, making you the go-to person for keeping everything organised and moving forward.

We are looking for a detail-oriented, proactive problem-solver with a “get it done” attitude. You should thrive in a fast-paced environment and be comfortable juggling diverse tasks and high volumes of work. Adaptability and initiative are key, as this role carries significant responsibility and impact. Experience in a smaller or mid-sized organisation, where you’ve worn multiple hats across different business functions will set you up for success. If you’re ready to make a real difference in a dynamic team environment, we’d love to hear from you.

The Opportunity
•    Deliver high-quality group and project administration support, including calendar management, logistics for meetings/events and staff onboarding/offboarding.
•    Support bidding and project activities by maintaining CRM data, coordinating documentation, managing project SharePoint sites and assisting with financial forecasting and project close-out.
•    Provide commercial support such as client invoice generation, supplier invoice processing and credit control assistance.
•    Produce and format documents in line with corporate templates and style guidelines, ensuring accuracy and consistency across all outputs.
•    Assist with operational tasks including travel arrangements, event coordination, interview scheduling and acting as a Health & Safety representative when required.

At Arup, you belong to an extraordinary collective – in which we encourage individuality to thrive. Our strength comes from how we respect, share and connect our diverse experiences, perspectives and ideas.
You will have the opportunity do socially useful work that has meaning – to Arup, to your career, to our members and to the clients and communities we serve.

Is this role right for you?
•    Proven administrative experience, ideally \ with strong understanding of projects, processes and guidelines.
•    Detail-oriented, organised and process-driven working style, committed to accuracy, consistency and continuous improvement.
•    Customer-focused mindset with strong problem-solving skills, professionalism, confidentiality and the ability to work independently.
•    Learning agility and adaptability, with a growth mindset, openness to new technology and willingness to both learn from and support others.
•    Strong communication, relationship-building and Microsoft Office skills (advanced Outlook/Word; intermediate Excel/PowerPoint/Teams), alongside excellent literacy, numeracy and document-formatting capabilities.
