Join our team as a Business Administrator and play a key role in providing vital administrative assistance to senior staff and project teams in a dynamic consulting environment. You will be responsible for a range of administrative duties across multiple functions, supporting day-to-day operations, events, and business processes, while ensuring smooth coordination and efficiency.

The Opportunity 

  • Provide administrative support for team meetings, events, and workshops, including logistics and documentation.
  • Manage travel arrangements, including bookings for approved travel within your geography.
  • Handle corporate credit card purchases and bookings for events, training, and staff gifts.
  • Support calendar management for senior business leaders and team members.
  • Assist with business card orders and manage distribution lists, if assigned.
  • Help manage team SharePoint sites and assist with catering bookings for events.
  • Provide timesheet support and assist with various P&C (People and Culture) requests.
  • Assist in staff on/off-boarding and provide support for long-term and short-term assignments.
  • Provide administrative assistance with tenders, including document preparation, scheduling meetings, and post-bid activities.
  • Offer commercial support by processing time and expense transfers and submitting supplier invoices for payment.

Is this role right for you? 

  • Relevant industry experience in administration, particularly in a consulting, engineering, or built environment context.
  • A strong understanding of processes, guidelines, and job instructions, with the ability to identify areas for improvement.
  • Proficiency in Arup systems and the ability to train and support others.
  • Foundational knowledge of health and safety best practices, with the ability to identify and address risks.
  • High attention to detail with a methodical approach to work and consistency in processes.
  • Strong communication skills, both verbal and written, with the ability to interact with staff at all levels.
  • A proactive, customer-focused approach to problem-solving, capable of resolving issues independently or escalating when necessary.
  • Strong organizational and time management skills, able to prioritize tasks and meet deadlines.
  • A growth mindset with the desire to learn new tools, technologies, and processes.
  • Responding positively and productively to the evolving needs of the business, facilitating change
  • Communicates openly through asking questions and actively listening to ensure comprehension.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, MS Teams) and excellent document formatting skills using Arup’s templates.
