Working with multiple stakeholders, the Assistant People Manager | People System will report into the Region People System Programme Lead and work closely with the Local People Teams in Hong Kong, China, Korea, Japan, Maldives, Philippines, Taiwan, Thailand, Vietnam and Cambodia, the Global People System Experience Lead and external consultants, where they will shape, develop and manage subsequent region people system project plans and align them to the overall Global People System Programme.

The Assistant People Manager | People System will be required to provide day to day project management guidance and support across all levels and teams within their region People function. The Assistant People Manager | People System will also work with Region People System Data Coordinator and a Region People System Change Coordinator in the delivery of multiple projects that fall under one Programme, ranging from advice and guidance, through to full end to end project management support.

Responsibilities: 

  • Work with the People System Change Coordinator to establish a communication and engagement plan to ensure successful change management within the people team, our leaders and members
  • Work with Region People System Data Coordinator on managing data cleansing and migration, and supporting the implementation and delivery of Global People Cloud System
  • Take an active role in understanding users’ operating model, process and compliance, conduct as-is-to-be process mapping and analysis so to enable positive user experience and change management across all Local People Teams and business users
  • Engage with cross-functional stakeholders to collect / understand business and user requirements, and translate into feasible solutions and propose operation procedures
  • Assist and coordinate required forms, documents and records for project activities such as change requests and process work-flow that fall under the programme
  • Working closely with the Local people team to enable smooth transition to the new system through change management activities and training for all end users for go live of phase one, through to go live of phase two modules of the system. For example, talent management, strategic workforce planning and people services portal
  • Assist in the post go-live improvements and any troubleshooting issues


Qualifications & Experience required:

  • Minimum 7 years of solid relevant experience in managing Oracle People System implementation project, preferably with a regional remit from a matrix working environment
  • Experience working in a people / human resources function is preferable
  • Experience of using Project Management methodology to deliver People projects and programmes would be an advantage
  • Proven ability to build, develop and sustain effective working relationships at all levels and specifically with senior leadership
  • Strong communication, facilitation, influencing, and organisational skills, ability to manage multiple tasks
  • Good team working skills
  • Flexibility working outside of normal office hour given the global nature of the project


Candidates with less experience will be considered as Senior People Officer | People System.

This position will be Arup's fixed-term contract. The renewability of the contract depends on project requirement. Attractive remuneration package will be offered to the successful candidates.
